What AI can really do in a smaller company

Artificial intelligence is discussed in extremes: either it will replace half the staff or it is a passing fad. For a company of ten or fifty people the more useful question is which jobs it can reliably make easier today, and at what cost.

Where it genuinely helps today

  • Sorting and summarizing. Email, inquiries and documents can be sorted automatically by topic and urgency and summarized in a few sentences.
  • Answers to frequent questions. An assistant that answers on the basis of your instructions, price lists and rules relieves support of repetitive questions.
  • Extracting data from documents. Amounts, dates and names can be pulled from invoices, contracts and forms and entered into a system without retyping.
  • Searching your own knowledge. Instead of digging through folders, an employee asks a question and gets an answer with a link to the source document.
  • First drafts. Offers, product descriptions and replies to clients come faster when you start from a draft rather than a blank page.

Where caution is needed

  • Accuracy. Models can write convincingly even what is not true. Anything going to a client or into the books should be reviewed by a person.
  • Confidential data. Before you put contracts or personal data into a tool, check where the data is processed and who has access to it.
  • Decisions about people. Do not leave hiring, evaluation and approvals to automation.

How to begin

  • Choose one job that repeats, takes hours and has clear rules.
  • Measure how long it takes today and how many errors occur.
  • Build a small pilot and use it for a month with human review.
  • Compare the numbers. If the benefit is real, expand; if not, you stopped in time and at low cost.
